The system operates on a monthly accrual model where employees gradually earn PTO hours throughout the year, with accrual rates increasing based on years of service.
The PTO Tracker consists of two complementary pages: the main PTO Tracker report accessible to all employees showing their personal balances and history (or all employees for administrators), and the PTO Month Accruals administrative page where HR and management can configure individual employee accrual schedules, make adjustments, and manage the approval workflow.
The system automatically handles complex scenarios including tenure-based rate promotions, year-end carryover calculations, and monthly accrual approvals. It also tracks Work From Home (WFH) hours alongside traditional PTO for complete absence visibility.

They navigate to Reports > PTO Tracker and immediately see their current balance: 32.50 hours remaining. They can also see they have 8.33 hours accruing next month (pending approval), giving them confidence they will have enough hours by their planned vacation date.
Scenario 2: HR Processing Monthly PTO Accruals
At the beginning of each month, HR reviews the previous month's PTO accruals. They open the PTO Tracker, where they see each employee's monthly accrual values displayed with checkboxes. For each employee, they verify the accrual amount looks correct and check the approval box. After clicking Submit, the approved hours are officially added to employee balances.
Scenario 3: Adjusting PTO Rate for New Hire with Prior Experience
A new employee joins with a negotiated PTO package reflecting their 10 years of industry experience. HR navigates to PTO Month Accruals, selects the new employee, and adds a PTO promotion entry with an annual accrual rate of 200 hours (the 6-15 year tier) effective from their hire date. This overrides the default new-hire rate and ensures they accrue at the agreed rate from day one.
Scenario 4: Year-End Carryover Verification
At the start of a new year, an employee wants to confirm their unused PTO from last year carried over correctly. They open the PTO Tracker and see "24.50 hours left over from 2024" displayed prominently, along with their current year's earning and usage. This transparency prevents disputes over beginning-of-year balances.
Scenario 5: Correcting a Monthly Accrual Error
HR discovers that an employee's monthly accrual was entered incorrectly two months ago. They open PTO Month Accruals, select the employee, find the month in question (marked with an asterisk indicating it's not yet approved), click the edit icon, correct the value, update the approval status, and save. The correction is applied and reflected in the employee's balance.
Scenario 6: Investigating Employee Balance Discrepancy
An employee contacts HR claiming their PTO balance seems incorrect. HR opens PTO Month Accruals, selects the employee, and reviews the complete history: PTO promotions showing when accrual rates changed, and the month-by-month accrual record showing earned hours with approval status. PTO Accrual Tiers
The system implements a tenure-based PTO structure with three tiers:

Monthly accruals are calculated by dividing the annual entitlement by 12, then rounding to the nearest quarter-hour (0.25) for practical time tracking.
Automatic PTO Promotions
The system includes a background process that monitors employee tenure and automatically creates PTO promotion records:
- Trigger Check: On a scheduled basis, the system compares employee hire dates to current date to identify service milestones
- Promotion Detection: When an employee reaches a new tier (e.g., 6 years of service), the system identifies them for promotion
- Record Creation: A new PTO accrual rate record is created effective from the beginning of the anniversary month
- Notification: The system sends notification to HR that an employee has been promoted to a new PTO tier
- Tracking: The employee's record is updated to prevent duplicate promotions for the same milestone
This automation ensures no employee misses their earned PTO increase regardless of HR workload.
Monthly Accrual Approval Process
Monthly PTO accruals follow an approval workflow:
- Calculation: At the beginning of each month (or mid-month), the system calculates each employee's monthly accrual based on their current annual rate
- Pending Status: Calculated accruals appear in the tracker with an unchecked approval box
- HR Review: Administrators review pending accruals and approve them individually or in bulk
- Balance Update: Only approved accruals count toward the employee's spendable PTO balance
- Historical Lock: Once approved, monthly accruals cannot be retroactively changed without explicit edit action
Unapproved accruals appear with an asterisk (*) in reports to indicate pending status.
Carryover Calculation
At the beginning of each calendar year, the system calculates carryover:
- Eligible Employees: Active employees with hire dates before the current year
- Calculation: (Total approved accruals since PTO start date through end of previous year) minus (Total PTO hours used through end of previous year)
- Recording: The carryover amount is stored on the employee record with a timestamp
- Current Year Start: New year's balance begins with carryover plus any January accruals
The carryover process runs automatically and is also triggered by background jobs.
Balance Calculation Formula
Total Hours Earned = Sum of all approved monthly accruals since employee's PTO start date
Hours Remaining = Total Hours Earned - Total PTO Hours Used
